Dealer Listing Studio (“we”) provides a website, dealership dashboards and a Chrome extension that help car dealerships list their vehicles on Facebook Marketplace. This policy explains what we collect, why, and how long we keep it. Dealer Listing Studio is independent and isn’t affiliated with or endorsed by Meta or Facebook.
Who uses Dealer Listing Studio
Dealerships are our customers. Each dealership’s managers sign in to the dashboard, and its salespeople use the Chrome extension with a personal key issued by their manager.
What we collect
- Manager accounts: name, email address, a salted hash of the password, and sign-in times.
- Salespeople: the name (and optional email) a manager enters, and a hashed copy of their extension key.
- Extension security: a random ID created when the extension is installed, a label such as “Chrome on Windows”, and the ID number of the Facebook account signed in in that browser. We store the computer and Facebook IDs only as one-way hashes, plus the last four digits of the Facebook ID so a manager can recognise it. These lock each key to one computer and one Facebook account.
- Dealership inventory: vehicle details and photos published on the dealership’s own public website.
- Marketplace listings: the salesperson’s own Marketplace listings: item number, title, price, status, the click and save counts Facebook shows them, and whether a listing is boosted (with the spend, budget and reach Facebook shows them). The extension reads these from the salesperson’s own selling page once when it’s set up, when they choose “Sync again”, when they open their selling page or one of their own listings, and when they post, renew, reprice, repost or delete through the extension. Other people’s listings are never sent. This lets their manager see which cars are listed and what promotions returned.
- Marketplace conversations (optional): if the dealership has conversations turned on and the salesperson has agreed in the extension, then when the salesperson opens a Marketplace conversation about one of the dealership’s vehicles, the extension sends the buyer’s display name, the message text and approximate times. Conversations that aren’t about the dealership’s vehicles are ignored and never sent. Personal messages are never read. A salesperson can turn this off at any time.
- Leads: when a buyer writes a phone number or email address in a shared conversation, we record it as a lead (buyer’s display name, phone and/or email, the vehicle and the salesperson) and send it to the dealership’s own customer relationship management (CRM) system, by email or webhook, as the dealership sets up. Lead emails are delivered through our email provider, Resend.
- Activity and security logs: actions such as posting, syncing, key changes, and blocked attempts to use a key elsewhere.
- Demo requests: the details submitted in our website form.
We don’t collect Facebook passwords or session cookies, payment card details, or browsing history. The extension only runs on Facebook pages and talks only to dealerlistingstudio.com.
How we use it
- To fill in Marketplace listing forms for the dealership’s vehicles.
- To show a dealership’s managers listing coverage, alerts, conversations about their vehicles, response times and promotion results.
- To pass buyers’ contact details, when they share them, to the dealership’s CRM so the salesperson can follow up.
- To secure keys and stop them being shared.
- To provide support and respond to demo requests.
We don’t sell personal information or use it for advertising. A dealership’s data is visible only to that dealership’s managers and to Dealer Listing Studio for support.
Buyers who message salespeople
If you message a salesperson about a dealership’s vehicle on Facebook Marketplace, that dealership may see your display name and your messages about the vehicle so its managers can make sure you get a timely reply. If you share a phone number or email address in that conversation, it’s added to the dealership’s CRM as a sales lead, and the dealership’s own privacy policy covers it from there. Contact the dealership, or us, to ask for access or deletion.
Where it’s stored and for how long
Data is stored with Cloudflare, our hosting provider. Conversations, and the lead records made from them, are deleted after the period the dealership chooses (30, 90, 180 or 365 days; 180 by default). Activity logs are kept for one year. When a dealership leaves, deleting it removes its vehicles, listings, conversations, keys and accounts.
Your choices
Managers can remove salespeople and delete their data. Salespeople can turn conversation sharing off in the extension. Anyone can ask us for a copy of their information, a correction, or deletion.
